I Plan and GEI Update

The following is information about a minor change to ONLY AEA staff/admin accounts in the GEI and I-Plan systems.

In an active effort to reduce the number of active accounts and limit access of users who no longer should have access to the these systems, ALL passwords have been reset for AEA staff.


LEA/Teacher accounts should not have been affected in the I-Plan System, unless they ‘re account was setup as an admin account .An Admin account is any account which provides a user access to add staff and change passwords of staff in a building.


AEA staff continue to be the contact person for your buildings to add users and change passwords for LEA staff in the I-Plan system.


The GEI system continues to be maintained by district administrators, and AEA staff shouldn’t have responsibilities maintaining user accounts.  


Region Secretaries continue to be the contact point for AEA staff who need to be added to the I-Plan system, or who need to have their passwords reset when the “Forgot Password” option does not work. Please check your spam mail before contacting a region secretary.

 

Our request of you:

  • If a GEI or  I-Plan user contacts you and is unable to get into the GEI or I-Plan systems, please ask him/her to use the Forgot Password feature.   A temporary password will be sent to his/her email.

  • If a person is no longer employed by the district or AEA, it will be impossible for the person to retrieve the temporary password that is sent to his/her district or AEA email.

If after trying to reset your password using the “Forgot Password” option you are unsuccessful, please contact your region secretary for additional support.  

 

Region Secretaries will only reset AEA staff passwords.

 

If you have teachers who need are unable to access their passwords using the forgot password option, you will need to reset their passwords using your I-Plan account.  Here is a video with instructions.

CASE for Service Agencies - Grant Wood AEA

As you know we have been focusing on communication/collaboration skills and working toward “staff being proficient in using online methods to communicate and collaboratively create solutions with team members and people outside of GWAEA.” This aligns with our Agency's goal to increase student acquisition and application of 21st century skills and knowledge.


In order to track our growth with this work, we need to revisit our own strengths and areas for growth related to technology.  We are using the BrightBytes Clarity Survey for 21st Century Service Agencies to track these data. If you could complete this survey by Wednesday, April 20th we would appreciate it.

 

We are asking ALL staff to complete this survey again. As a reference here are some of the terms that may help clarify what we use for tools.  There are items here that we haven't addressed this year, but will be revisiting in the future phases of support.


You can access the questionnaire from any internet-connected device. It will take about 10 minutes to complete.

Best Place to Work Survey Will Close April 18

Grant Wood AEA is again participating in the online survey for best places to work in Iowa, which is sponsored by The Des Moines Register. We were pleased to learn that our employees ranked us as one of Iowa's top workplaces the previous two years, and want to make sure we have the opportunity to continue giving employees a forum for feedback.

On April 4, staff received an email with a link to the online survey. The survey will remain open through April 18. Please take a few minutes to complete the survey and provide us with your feedback.

The survey is being conducted by WorkplaceDynamics LLP, an independent research company. To protect your confidentiality, WorkplaceDynamics will not disclose your individual responses to agency management. The survey is broken down into only the largest agency work groups – classified, contracted, salaried, management support and management. Please be aware that managers will see any written comments you may provide on the final page of the survey. If you wish to make a comment you may want to avoid writing anything that will identify you personally.

Please note:

  • If you do not receive the survey email, please check your spam or junk email for a message from "Workplace Survey." To open the survey invitation, you may first need to mark the email as not spam.

  • If you accidentally delete the survey email, you will receive a reminder email a few days later that will allow you to take the survey.

Remote Work Site Program (2016-17)

This program is available for eligible Contracted and Salaried staff who are based in any of the Agency Centers (6th St, 33rd Ave and Coralville).
 
Details about this program, including a program overview and employee application form, are attached for your information and reference. Please note:


1)       Eligibility for the program will be determined on an individual basis at the supervisor’s discretion.  Employees are to submit an annual application to participate in the program and supervisors will determine if such an arrangement is appropriate for an employee using criteria that are outlined in the overview.
2)       Dedicated work space in an Agency Center will not be provided for employees who participate in the RWS program, however participating employees will have access to Agency facilities including temporary work space.
3)       The program is not available for hourly employees (due to the legal requirements for monitoring the work time of hourly staff).
4)       Employees must apply for program participation each year.  Completed application forms are to be submitted to the supervisor by May 1 for the upcoming work year.  
5)       Clear guidelines and requirements related to employee schedules, work hours, Agency resources, safety, security and liability are provided in the overview document.
 
If there are questions or more information is needed regarding this program, employees may contact their supervisor or the Human Resources Office. This program is available to help ensure effective and efficient Agency services and a productive work environment for Agency staff. This program will be reviewed on an ongoing basis and changes may be made as needed. Employees are invited to provide feedback about what’s working well with the program and/or suggestions for improvement. Feedback may be submitted to the Human Resources Office.


New Process for Reserving Agency Vehicles

We have simplified the reservation system for staff requesting to use one of our two agency vehicles.


To reserve a vehicle you can now go into the Employee Self Service (ESS) site and select Vehicle Reservations.

-> Click on Make a Reservation to begin the process of requesting a vehicle by completing the request form.

-> By clicking on Calendar you can check the availability before filling out the form.

-> After you click on Submit a window will pop up letting you know if your reservation was successful.


Tips:

  • Before filling out the form for the first time and then periodically after read the Procedure for use of Agency Vehicles to check the guidelines for usage.  If a car is available and the guidelines are followed you can then fill in the new online form to reserve a vehicle.

  • If you are traveling with a group and members of that group are eligible to drive please indicate who all the drivers will be in the field under Questions??

  • By checking the Send me a copy of my responses box at the bottom of the reservation form a confirmation will be sent back to you via email letting you know the status of your request.

  • Keys and credit card may be picked up the day before departure from the front desk.

  • The reservations will continue to be coordinated by Front Desk Receptionist Cathy Nelson
    (ext. 6544), and you can contact Cathy with any questions.


Our Condolences...

  • to Michele Pettit on the passing of her father, Ross Pinter, on April 12, 2016 after a brief illness. Services will be Saturday, April 16, 2016 at 10:00 a.m. at St. John's Evangelical Lutheran Church on the Hill, Princeton. Visitation will be Friday, April 15, 2016 from 3-8 p.m. at Schwarz Funeral Home, Mendota. Michele is a school psychologist with GWAEA.

April is Financial Literacy Month!

The Financial Fitness Challenge program will conclude April 22 at midnight. There is still plenty of time for anyone to start if they have not already.

 

As a reminder, this FREE learning opportunity is available for GWAEA staff and your family and friends!

  1. All GWAEA employees should have received an emaifrom support@financialfitnessgroup.com on 2/22/16 inviting you to participate in the Challenge.

  2. The initial Checkup takes only about 10 minutes.  *Important Step: Remember to enroll in a Learning Plan once you've finished your Checkup!

  3. Once you complete the initial Checkup, a specific course will be recommended for you OR you may choose to complete any of the six Learning Plans.  (Each Learning Plan has 5 courses, and each course takes approximately 45 minutes to 1 hour to complete.)

  4. You can access the program 24/7 with any Internet-connected device and can start, stop and resume the courses at your convenience.

  5. Family and friends of GWAEA staff may participate in the Challenge program by visiting FFCProgram.com and
    o click the icon "Get Started Now"
    o choose Grant Wood AEA from the employer drop-down list, and 
    o enter their personal email address. 

  6. To date, 141 staff have completed the initial Checkup97 staff have enrolled in a Learning Plan, and 20 staff have completed a Learning Plan!

  7. The names of all employees who have completed a Learning Plan before the program ends on April 22 will be entered in a drawing to receive one of four $25 gift certificates to a local bookstore or community theatre.

If you want to share something in your Google Drive with someone for a limited period of time you can now do that. You share the file and then roll over their name and click on the clock that will appear and set the expiration date. Read more about it here.

Mindfulness 101:  Stress Reduction and Wellness

Location: Grant Wood AEA Northern Facility

Class dates are June 21, 28; July 5, 12, 19, 21, 26; Aug. 2, 2016, 1:00-3-30 p.m.

This nine-week opportunity is supported through the agency's GROW Committee. The class is designed to help you cultivate your inner resources through mindfulness meditation practices to respond more skillfully to stress and find greater ease and peace of mind.

Research suggests that mindfulness practice can positively affect stress resilience, physical and mental health, interpersonal skills, academic skills and promote overall well-being.


This class is based on a model developed by Jon Kabat-Zinnm, Mindfulness Based Stress Reduction and will be led by GWAEA retiree Christine Allen as the instructor. This model has been used with diverse groups around the world including corporate employees, CEOs, educators, students, attorneys, judges, prison inmates, health care professionals, teachers and professional atheletes.

 

Christine has practiced mindfulness meditation for many years, received training in MBSR for health care professionals from Jon Kabat-Zinn, Saki Santorelli and staff at the Center for Mindfulness, and has attended several extended mindfulness meditation retreats. She has taught Mindfulness Based Stress Reduction courses at University Hospitals and Clinics since 2004 and helped develop and teach a credit course on mindfulness meditation for undergraduates at The University of Iowa for several years.

These sessions explore a leadership repertoire that flexes between the stances of presenting, collaborating and facilitating when communicating important information and to support groups in generating and processing information. Knowing when and how to flex between these stances allows skilled leaders to productively and confidently influence positive outcomes for groups and manage difficult topics and conversations. Flexibility in stance also allows the group leader to preserve a place at the table so his or her voice as a colleague has a space for participation.

Coaching for Tech Confidence & Competence

Participants will learn how to effectively coach teachers for technology confidence and competence. Coaches will learn foundations of coaching adults and how to best meet the needs of all the teachers they work with, novice to veteran. Additionally, coaches in this cohort will begin to develop a PLN to help assist their learning of how to support teachers with technology integration.

TQ committee within 7 - 10 days after the due date.

 

TQ funds are available to support professional learning. All contracted staff in a position that requires educational licensure are eligible. Funds can be used to support learning time and resources for agency-wide proposals, region/discipline/program proposals and individual proposals. During the 2014-2015 school year, 31 proposals were approved to support professional learning in Literacy, Math, Early Childhood, Autism, Behavior, Science, Coaching, Mentorship, Speech Language, ELL, and Leadership Development. The application documents can be accessed on the Staff Portal. Committee members are happy to answer questions about proposal development. Contact Sherry Sines, Terri McGraw,

Evaluator Approval Information

Professional Administrator Licenses require approved Evaluator Approval coursework as a part of the licenses renewal credits.  The course options include Assessing Academic Rigor and iEvaluate.A letter from the DE/BOEE is attached for additional information.
